What is included in your site fee for events?

We try and make your event as seamless as possible by providing as much as possible! We include the event space for up to 5 hours, tables, chairs, parking, and set-up/clean-up.

Do you require a deposit?

We ask for a 20% non-refundable deposit for wedding ceremony receptions. This guarantees your placement on our calendar. Deposits for corporate and social events vary according to the type and size of event.

How do I know what my total event cost will be?

After meeting with one of our professional event coordinators and discussing your event needs, we will prepare an itemized estimate for you!

Is there a minimum number of guests required to book an event at 502 East?

Yes - we do require that events have a minimum of 30 guests before booking.

When do you need the final guest count?

We ask for your final guest count twenty-one (21) business days in advance. This gives us time to finalize your rental orders, finalize all event details, and prepare your invoice for payment.

How far in advance do I need to reserve my date?

Wedding receptions typically book 6-12 months in advance. Corporate events usually have a shorter lead time. We suggest reserving your date as soon as it is confirmed. Summer weekends and all dates in December fill very quickly.

What is the maximum capacity of the venue?

We are able to hold up to 1,100 people at 502 East Event Centre - making us the largest in Hamilton County!

What catering services do you offer?

Our exclusive catering partner is Catering by Jonathan Byrd’s! We can provide plated or buffet style meals, food stations, hors d’oeuvres, dessert, and more! Plus, all catering pricing includes servers.

Can I upgrade my buffet by adding silverware, cloth napkins, and full china?

Most definitely! Let your event specialist know and we can provide you with options and pricing.

Can you create a custom menu for my event?

We would LOVE to. Our Executive Chef is a creative genius and has a blast coming up with exciting, themed menus that fit your event perfectly. Whatever your needs are - we are more than happy to work with you to create an amazing menu for your event.

What bar services can you provide?

502 East has got all of your adult beverage needs covered! We can hook you up with bartenders (open bar, cash bar, or limited bar options available), champagne toasts, and either house wine, beer, and liquor or premium bar options!

Are you insured?

We are fully licensed and insured for product and liquor liability. Our staff is covered by Indiana state workers compensation. This means that if one of our staff should injure themselves while working your event, their injuries would be fully covered and you would not be liable.

How many event spaces do you have to offer?

We have nine (9) event spaces that vary in size + capacity limits! Contact our team for more specifics.

Do you have catering minimums?

While we do not have a financial minimum, we do have a guest minimum of 30 people!

How much notice do I need to give to place a catering order?

To ensure we have the right amount of staff and ingredients available, we request (but do not require) two weeks notice for an event of 300 or less. For larger events, more notice is much appreciated!

Can you accommodate dietary restrictions?

Yes we can! Some of the most common requests we have are for vegetarian, vegan, gluten-free, dairy-free, and nut free. While we cannot always promise an entirely "allergen free" kitchen, we are happy to accommodate to the best of our abilities. Just let us know your exact needs and we will work hard to make it happen!

What is done with leftover meals from my event?

If there are any remaining meals that were not sent out for consumption, we are a loyal partner to Second Helpings, who has the opportunity to retrieve any extra meals to minimize waste and help provide for Indiana's under served.

How long is my proposal guaranteed for after it is sent?

We can guarantee pricing on a proposal for up to 14 days after it is sent out. Past the 14 day mark, we cannot guarantee pricing or availability. If you have finalized your decision after these 14 days, please touch base with your event specialist to confirm if your quote has changed.

What is included in your service charge?

Depending on the size and details of your event, there are typically multiple days (or sometimes weeks!) of work completed by our team of professionals that go into an event that clients never see! This includes menu creation, walkthroughs, purchasing/stocking of ingredients, and kitchen prep, as well as maintaining our main commissary kitchen in order to prepare the bulk of an event. Additionally, liability insurance and permits are also a factor. A service charge of 22% is applied to all events, which is consistent with the industry standard.

Is there a delivery charge?

Yes, we do have a delivery charge. Delivery fees are dependent on many factors, including disposable versus china service, if bar service is included in your event, and the distance from our commissary kitchen. Please speak with your event specialist or contact us here for more specifics!

Is gratuity included on the bill?

No, gratuity is not included on the bill. If you think your service staff deserves gratuity, please let your event specialist know or be sure to included it on your invoice.

Can you host my bar or beverage service?

Absolutely! Keep in mind, however, that many venues (especially in regards to weddings) provide their own bar service, therefore you may not be able to utilize ours.

Do you offer drop-off services?

Yes! Please ask your event specialist for drop-off catering packages and pricing. We recommend this type of catering service for smaller events and company lunches.
